Submission Form Setup
Note: All instructions assume that you are logged into OpenWater as an admin, and that you are starting on your instance dashboard.
Manage Pages
To access the Submission Form builder, click 'Round Settings > Submission Form.' This will load the pages of your submission form. By default, there is page titled 'Applicant Information.' We will start by editing this page. The following are the steps to access and edit your submission form.
- There are 4 (four) buttons at the top of the submission form page management screen. They are the following:
- Add Question Page
This button will allow you to add a Submission Form Question Page. Breaking your collection into pages makes it easier for your applicants to focus on groups of data.
- Move Fields
This button allows you to move fields between pages.
- Developer Settings
This button will take you to the developer settings for your developer settings. You can set CSS classes and aliases for your fields here. Additionally, you can add custom CSS and JS to your submission form here.
- Export to Doc
This button allows you to download your submission form as a Microsoft Word Document.
- Add Question Page
- On this page, you will also have the option to Edit or Delete your submission form page.
- Edit
This will allow you to make edits to the specific page that you select.
- Delete
This button allows you to delete the specific page you have selected.

Individual Page Edits
To begin, click on 'Select' next to the page you would like to edit. On the following page, you will see the following options:
- Page Name
This is the name of the page you are editing. This will appear in breadcrumbs. Make sure the Page Name has relevance to the questions that will be on this page.
- Short Description
This allows you to give your page a description to reference later.
- Save
This button will save any changes made on this page.
- Back to List
This button allows you to download your submission form as a Microsoft Word Document.
- Edit Form Fields
This button will direct you back to the Submission Form page management.
At the bottom at this page, you can also preview your current submission form.
Editing the Submission Form
To begin editing your submission form, click 'Edit Form Fields.' We will briefly go over the field types that are available.
System Generated Fields
- These fields are generated by OW automatically.
- The title field is required on every submission form.
- The category field will be required if your program uses categories.
- Title Field
This field is denoted by it's gray background. This field can be moved between pages, but cannot be removed. This field will also be the name that follows the application. Typically this would be an abstract title.
- You can set this field to default to the name of the submitter. When doing so, you should uncheck 'Display only one text field?' to allow for a first name and last name field.
- You can also add a CSS Class, Alias, and create a limit for characters or words.
- Category
If your submission form has categories setup, you will see the Category dropdown in your list of fields.

- User Profile
This field allows you to prefill a field with information from the submitter's user profile.
- Add from Template
Under 'System Settings > Form Field Templates,' you can create premade field group sets. This allows you to create consistent field groups. This field type allows you to select a premade field template.
- Title Field
Text Fields
- These fields allow you to collect alphanumeric data.
- You can also add a CSS Class, Alias.
- You can set minimum and maximum limits for either words or characters.
- Single Line Text
This field type allows your collect a single line of text under 255 characters.
There are additional integrations settings that will be reviewed in another module.
- Multiline Text
This field type allows you to collect multiline text.
You can choose a size. This will not affect the amount of text you collect, but will change the display. The size options are small, medium, and large.
You can also choose the What You See is What You Get (WYSIWYG) editor. If you select this option, you will also be able to choose the 'Allowed HTML tags.' This will also allow you to choose what style options your submitters are able to use.
- URL
This field allows you to collect a website url. It will validate for proper URL format.
- Address
This field is actually a grouping for fields. It collects Address, City, State/Province, Country, and Postal code.
- Email
This field is denoted by it's gray background. This field can be moved between pages, but cannot be removed. This field will also be the name that follows the application. Typically this would be an abstract title.
- Single Line Text
Multiple Choice Fields
- These field types allow multiple choice responses.
- You can also add a CSS Class, Alias.
- These field types support Dependant Fields.
- You can add options individually or in bulk.
- Checkboxes
This field type allows you to collect multiple answers. Additionally, a single checkbox can be used for a question where only a single acceptance is needed
- Radio List
This field type allows you to give a multiple choices, where only a single selection is allowed. Radio fields difer from dropdown menus in that they allow you to see all selections available. We recommend that radio list are reserved for list under 10 options.
- Dropdown
This field type allows you to give a multiple choices, where only a single selection is allowed.
- Checkboxes
Number and Date Fields
- These fields allow you to collect .
- You can also add a CSS Class, Alias.
- Date
This field allows you to collect a date with a datepicker.
You can set a range for accepted dates.
You can restrict to 'Today' (Selecting No Before/After Current Date. This is useful for agreements that need to be dated when they are signed.
- Number
This field allows you to collect a number.
You can set a range for accepted numbers.
You can set the number of decimal places that are allowed.
- Phone Number
This field is allows you to collect a phone number.
Country Codes are available by submitters.
Phone numbers are automatically formatted.
- Date
Auxillary Fields
- These fields are utility fields.
- You can also add a CSS Class, Alias
- Separator
This field allows you to give information to your submitters. This is not a collection field.
- Table
This field type allows you to collect sets of the same data. Table fields have a sub-form that can be submitted multiple times.
- File Upload
This field allows you to collect files from your submitters.
You can choose to capture a caption for the file that is being uploaded. This is handy if file name do not indicate what the file is.
You can choose the Permitted Extensions to determine the file types that can be uploaded. You can also choose groups of types, such as Movies, Images, etc.
- Letter of Recomendation (View More Details)
This field type allows your submitters to send a request for a Letter of Recommendation. You can choose the fields that the recomender can complete.
