Applicant Settings

Note: All instructions assume that you are logged into OpenWater as an admin, and that you are starting on your instance dashboard.

Advanced Round Settings

Applicant settings will cover two areas. The first is located under 'Round Settings > Advanced > Settings tab.` This allows us to set the Submission Finalization Action.

  • Complete

    This option will mark applications as complete upon submission.

  • Require all Submissions to be approved by an admin staff member before sending to Reviewers

    This option enables 'Pending Approval.' Each application will require an admins approval to moving into the reviewing pool.

  • Automatically forward all Submissions to next round (to enable auto-forwarding you must add another round)

    This options will forward applications to the next round in the program.


Applicant Program Settings

The second area covered is located under 'Program Settings > Applicant Settings.' In this configuration, you can setup the following items:

  • Limit Number of Applications per Applicant

    This option will allow you to set the maximum number of applications that an individual submitter can submit to the program.

  • Category Selection Options

    This option allows you to select how many categories a submitter can choose on a single submission.

    • Disabled

      This option will disable multiple category selection.

    • Allow Users to Copy Submissions

      This option will allow submitters to copy their application between categories.

    • Allow Users to Select Multiple Categories to Submissions

      This option allows the user to submit to multiple categories simultaneously. 

  • Show checkbox to submit to another Category

    This options adds a checkbox that users select to submit to another category.

  • Custom Save and Submit Popup Message

    This field allows you to change the message that shows before a user submits their application. (Tip: You can use a \n in this field to create a line break)

  • Validation

    This option will allow you lets you choose when required fields and eligibility rules are applied.

    • Validate Each Application Page on Save and Next

      This option will validate every time a submitter saves a page.

    • Validate Entire Application on Save and Submit / Add to Cart

      This option will validate upon final submission of the application. 

  • Applicant Withdraw

    This option allows applicants to withdraw their submission by themselves.

  • Application Contributors

    This option allows multiple contributors to work on a single application together.

  • Application Export

    This option allows the submitter to export their application.

  • PDF Setup

    This option will allow you to set the maximum number of applications that an individual submitter can submit to the program.

    • Generate Image Thumbnails

      This option will add thumbnails from submitted images to the PDF.

      • Max Height

        This option sets the max height of the thumbnail.

    • Merge Uploaded PDFs

      This option will merge uploaded PDFs into the exported PDF.

    • Merge Uploaded Word Docs (doc, docx, rtf)

      This option will merge uploaded Word Docs into the exported PDF.

    • Merge Uploaded PowerPoint Presentations (ppt, pptx)

      This option will merge uploaded Powerpoint Presentations into the exported PDF.

  • Override Application Field Template

    This option allows you to override the title field for an application with variables from the submission..

  • Limit Total Number of Applications for Program (for all Applicants)

    This option allows you to limit the number of applications to the program. This is an overall restriction. Submissions will close if this number of completed applications are submitted.

  • Submitter Login Restrictions

    This option will allow you to restrict who can access the submission form.

    • Require Login

      This option will require submitters to login before completing the submission form.

    • Allow Guest Registration

      This option allows guest to register to make a submission..

    • Force Guest Access for Anonymous Users

      This option will allow anonymous users access to submit a submission. Note: Applications cannot be re-accessed by submitters with this option.
