Confirmation Email Setup

Note: All instructions assume that you are logged into OpenWater as an admin, and that you are starting on your instance dashboard.

Your confirmation email allows you to send an email to your submitter on completion of their submission. You have the option to have a generic confirmation email or multiple confirmation emails based on conditions met in the submission.

  • Add Email

    This button will allow you to add confirmation emails.

    • Name

      This field allows you to name your confirmation email. If you are creating an email per category, we recommend that you use that category as the title here. This is an internal title, and will not be seen by the submitter.

    • Sending Conditions

      This option allows you to select the conditions that must be met for this email to send.

      • Send this E-Mail

        This selection will enable this email to send for each submission made.

      • Send this E-Mail when conditions are met

        This selection allows you to choose what conditions must be met for this email to send..

      • Do Not Send this E-Mail

        This option will disable the confirmation email you are editing.

    • When to Send

      This button will allow you to add confirmation emails.

      • Send Immediately

        This option will send the email immediately upon submission.

      • Send after Delay

        This option will send the email after the specified time.

    • Override From Name

      This allows you to override the From name on the email. This is beneficial if you are sharing your instance with other programs. You can specify that this email is coming directly from the conference/events department.

    • Override From Address

      This allows you to override the From address on the email. This allows you to specify an 'reply to' email for your confirmation email.

    • Override To Address

      This allows you to override who this email is sent to. Often we override using this field to test a confirmation email, without it sending to the submitter.

    • CC Address

      You can choose email addresses to receive a copy of the confirmation email. Often this will be the authors listed on the submission.

    • BCC Address

      You can choose email addresses to receive a blind copy of the confirmation email.

    • Subject

      This is where you will enter the subject line for your email. You can include variables based on responses in the submission.

    • Render from WYSIWYG

      This selection allows you to edit your confirmation with our WYSIWYG editor.

      • Message

        You can enter your confirmation email text in the WYSIWYG editor. You can also insert variables here.

    • Render from Template

      This selection allows you to edit your confirmation in our Handlebars templating engine.

      • Manage Template

        You can select the variables you would like to use, then build out your confirmation email in the Handlebars templating engine.
